Clecs Media are committed to protecting and respecting your privacy.

This Policy explains when and why we collect ‘Personal Information’ about you and how we use it, the conditions under which we may disclose it to others and how we keep it secure. ‘Personal Information’ means information which can identify a living individual.

What type of information is collected from you?

As an organisation we collect and use ‘Personal information’ for a variety of reasons and in a variety of ways depending on the activity you are taking part in when you share the information.

When we collect ‘Personal Information’, we will always explain clearly what information we are collecting, why we are collecting it and how we will use it.

We will always make sure we have a lawful basis for processing your ‘Personal Information’.

How do we collect information from you?

We may obtain your information in the following ways:

Directly from you

If you give us your information directly for any reason – such as becoming a member or volunteer or requesting services from us, we will ensure you are given the important information about how we will use and look after your information at the time.

Indirectly

If we receive your information from another source and not directly from you or if we receive referral information about you from other agencies we will also ensure you are given all the important information about how we will use and look after your information as soon as possible and within one month of receiving your information (unless it is impossible to do so or would involve disproportionate effort). When you visit our website

We use cookies on our website to collect information about your visit to our website, including the pages you view, the links that you click on and other actions taken within our website. When you access Clecs Media’s Social Media platforms

We might also obtain your ‘Personal Information’ through your use of social media such as Facebook, Twitter or LinkedIn, depending on your settings or the privacy policies of these social media and messaging services. To change your settings on these services, please refer to their privacy notices, which will tell you how to do this. Clecs Media is the media arm of COS and controls its media infrastructure.

Facebook and other Social Media Sites

We may share your email address and phone number with Facebook or other social media sites to match your account on our behalf to show you Clecs Media content while using these services. This information may be used by the social media site on our behalf to identify other users of these sites with similar interest whom we believe would be interested in us, in order for them to be shown Clecs Media content. We do not receive any ‘Personal information’ from the social media sites or see your profile information as part of this process.

We will inform you when we intend to do this, and we keep your data secure by encrypting it. No data we hold about you is retained by the third party.

To find out more about this process or prevent this use of your data, you can either contact us directly or you can do this via the relevant social media site.

Updating your preferences will not guarantee that you never see Clecs Media content on social media, since the social media site may select you based on other criteria and without your data having been provided by us.

Profiling and Automated Decision making

Profiling is any form of automated processing of personal data to build up a picture of a person, in particular to analyse or predict aspects about that person’s economic situation, personal preferences or interests. We may use the information we hold about you based on your interactions with us in order to build our relationship with you, offer you the right help or information and personalise things we offer to you.

Automated decision-making takes place when an electronic system uses personal information to make a decision without human intervention. We will always inform you if we are processing your information in this way.

Third Party Product Providers we work in association with:

We work closely with various third party product providers to bring you a range of quality and reliable products and services designed to meet the needs of people with a Sensory Loss (e.g.). When you enquire about or purchase one or more of these products, the relevant third party product provider will use your details to provide you with information and carry out their obligations arising from any contracts you have entered into with them. In some cases, they will be acting as a data controller of your information and therefore we advise you to read their Privacy Policy. These third party product providers will share your information with us which we will use in accordance with this Privacy Policy.

We may transfer your ‘Personal Information’ to a third party as part of a sale of some or all of our business and assets to any third party or as part of any business restructuring or reorganisation, or if we’re under a duty to disclose or share your personal data in order to comply with any legal obligation or to enforce or apply our terms of use or to protect the rights, property or safety of our supporters and customers. However, we will take steps with the aim of ensuring that your privacy rights continue to be protected.

Protecting your information

Security precautions in place to protect the loss, misuse or alteration of your information.
When you give us ‘Personal Information’, we take steps to ensure that it’s treated securely. Any sensitive information (such as credit or debit card details) is encrypted and protected with the following software 128 Bit encryption on SSL. When you are on a secure page, a lock icon will appear on the bottom of web browsers such as Microsoft Internet Explorer.

Non-sensitive details (your email address etc.) are transmitted normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your ‘Personal Information’, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems. Where we have given (or where you have chosen) a password which enables you to access certain parts of our websites, you are responsible for keeping this password confidential. During the transition period (since the 31st of January 2020) Clecs Media is still bound by the rules of the European Union (“EU”) and will not change until the end of the transition period or until such actions should be taken based on new agreements or the law of England and Wales. By way of example, this may happen if any of our servers are from time to time located in a country outside of the EU. These countries may not have similar data protection laws to the UK.
